Plans and Limits
What each plan includes and its limits.
Your DonorDesk plan sets limits on projects, team seats, storage and AI report drafts. This page explains what each limit counts and what happens when you reach one. Current prices and features are also on the public Pricing page.

What each limit counts
Projects
Only active projects count. Archived projects are read-only and never count against your limit. The Academy demo project does not count either.
If you are at the limit and try to create another project you will see a message. Archive a finished project or upgrade.
Seats
- Full seats are every non-Viewer team member, including you, plus invited and suspended members.
- Viewer seats are counted separately. Viewers can see projects and export reports, but cannot edit.
Remove a member or upgrade if you need another full seat.
Managed storage
Only files uploaded directly to DonorDesk count. Evidence that stays in your own Google Drive (link-first) is not charged. If you run out of space, delete files you no longer need or link them from Drive instead.
AI report drafts
- A successful AI draft consumes one credit. A generation that falls back to the built-in deterministic (non-AI) output is not billed, and a failed run releases its credit.
- Regenerating a single section in the report editor does not use a credit, but is limited to a set number of regenerations per report per hour.
- Credits reset monthly (the Billing page shows the exact reset date).
- If you use your own AI provider (Growth and Enterprise), drafts do not use DonorDesk AI credits.
- Extra credits can be bought as top-up packs (see below).
What happens when you go over a limit
Reading, exporting and deleting always keep working. Only actions that would add to an over-limit resource are blocked until you free capacity or upgrade. Your data is never deleted because of a limit.
AI credit top-ups (Team and Growth)
In Settings → Billing you can buy extra AI drafts without changing plan:

Packs are used after your monthly plan allowance runs out, and unused credits do not expire mid-cycle.
Growth only: a prepaid standing balance (+100 drafts) acts as soft overage. It is used after your plan allowance and any top-up packs. You can hold a limited number of active balances. Note that cancelling or downgrading Growth stops standing balances from drawing down.
Nonprofit discount
Verified nonprofits pay 40% less on paid plans (Team about $79/month, Growth about $179/month).
- Go to Settings → Billing and submit the nonprofit verification form (registration number and a link to your registration certificate).
- The DonorDesk team reviews it and emails you when it is approved.
- Approved workspaces are moved to the discounted price. If a submission is rejected, the discount flag is removed.
Upgrading, downgrading and cancelling
- Upgrade: choose Team or Growth (monthly or annual) in Settings → Billing and complete the secure checkout. New limits apply as soon as the subscription is confirmed. Annual billing is two months free.
- Downgrade or cancel: use Manage subscription to open the billing portal. The change takes effect at the end of the billing period, then the workspace returns to the Starter limits. Data is kept; anything over the Starter limits becomes read-only until you upgrade or reduce usage.
- Free trials: DonorDesk does not currently run a standard trial; every new workspace starts on the free Starter plan.
Enterprise
Enterprise limits are set by contract. Contact us through the contact-sales page to discuss project and seat volumes, AI capacity, data residency and support terms.
