Troubleshooting Data Recovery

Recover lost or deleted data.

Act quickly and stop editing the affected item. Most things can be recovered from history inside DonorDesk.

A report section was changed or deleted

  1. Open the report editor and select the section.
  2. In the inspector open History. Every save is a version (written by the AI, edited, regenerated, rewritten with AI, number corrected from evidence).
  3. Pick the earlier version and restore it.
  4. For the whole report, use ⋯ → Version history to see earlier drafts. Older drafts are kept when a new draft supersedes them.

If you regenerated a section and the writer failed, your previous text was kept automatically.

Indicator values were changed

Open the indicator page and check History for each update: value, who entered it, verification decisions. Re-enter the earlier value in the grid and save. Earlier Excel exports of the indicator table also help.

Evidence was deleted

Only Admins can delete evidence.

  1. Check Settings → Audit log to see who deleted it and when.
  2. If the file was linked from Google Drive, the original is still in your Drive (check the Drive trash too). Upload or link it again and re-link it to the activity or indicator.
  3. Contact support@donordesk.online quickly if the file was in DonorDesk-managed storage; recovery is not guaranteed.

An activity or checklist decision was wrong

  • Activities can be re-submitted or revised. Reviewers can send them back with a note.
  • Checklist decisions (resolved, accepted risk, not applicable) can be changed by someone with checklist permission; the note history is kept.

A project was archived by mistake

Open the project's Settings and click Restore project (you need a free active-project slot on your plan).

A team member's role or access changed

Check the audit log for role changed events and set the role back on the Team page.

Prevention

  • Export approved reports and indicator tables regularly.
  • Keep original evidence in your own Google Drive.
  • Do not delete evidence that is linked to reports.
  • Approve sections only when finished: approved sections are locked for that version.
