Troubleshooting Evidence Upload

The Upload button is missing

Uploading needs one of these roles: Admin, Project Manager, M&E Officer, Grants Officer, Field Officer or Compliance Officer. Viewers cannot upload.

An upload fails

• Files up to 100 MB are accepted. Compress or split larger files, or link them from Google Drive.
• Keep the tab open until the Upload queue finishes; upload fewer files at once if your connection is slow.
• Make sure you filled in the required fields (title and type).
• If you use DonorDesk-managed storage you may be at your storage limit. Check Settings → Billing, delete files you no longer need, or link from Drive instead.

Google Drive upload or link problems

• "Enter a valid Google Drive share link or file ID." – paste the file's share link (https://drive.google.com/file/d/…/view) or its ID.
• Check that Drive is connected (Settings → Setup) and that the project's storage folder exists (project Setup page; use Retry workspace or Repair workspace).
• The Google account you connected must be able to open the file.

Text was not extracted / the AI can't cite it

Scanned images and photos have no text. Add a summary in the evidence title/notes, or upload a text-based version. AI report drafts can cite only linked evidence with readable text.

I can't link evidence to an indicator or activity

Open the file and use Link this file to an activity or indicator or Suggest links. You need upload or edit permission.

The file can't be verified

Verification is done by Admin, Project Manager, M&E Officer or Compliance Officer. If it says Needs correction read the reviewer's reason and re-upload or fix the metadata.

Evidence disappeared from a report

• Sensitive and Highly sensitive files are withheld from AI drafting.
• Check the evidence's reporting period; evidence outside the period is not used.
• Check it was not deleted (see the audit log).

Tags look wrong

AI tag suggestions are only suggestions. Open the tag review and edit or reject them.
