Understanding Report Statuses
DRAFT, IN REVIEW, APPROVED, SUBMITTED — what they mean.
DonorDesk tracks two things: the status of the reporting period and the status of the report draft inside it.
Reporting period status
| Status | Meaning |
|---|---|
| Not started | The period exists but no work has begun. |
| In progress | Data is being entered. |
| Evidence collection | Evidence is being gathered. |
| Draft generated | A report draft exists. |
| Under review | The draft was submitted for review. |
| Approved | The report was approved. |
| Submitted | The report was submitted to the donor. |
| Closed | The period is finished. |
Report draft status
| Status | Meaning | What you can do |

| Draft | Being written and edited. | Edit, regenerate sections, decide on flagged statements, approve sections, submit for review. |
| Under review | Submitted to a reviewer. | Reviewers with approval rights Approve report or Request changes (with a comment). Others see "Waiting for review". |
| Approved | A specific version was approved. Sections are locked. | Export. Changes require reopening. |
| Exported | An export was produced. | Download from the Export Center; submit to the donor. |
| Submitted | Sent to the donor; the version is sealed as a snapshot. | Read only. |
Each save creates a new version, and older versions are kept in Version history. If a newer draft supersedes an older one, older versions become read-only.
Section approval
Inside a draft each section can be approved on its own. Approved sections are locked for that version. Editing an approved section, or regenerating it, reopens it.
Statement statuses
Factual statements in a section carry their own status: Matches evidence, Needs a decision, Kept with a note, Left out, and Not checked (minor).
