Understanding Reporting Periods

How to structure your reporting over time.

A reporting period is one report cycle for a project, for example a quarterly progress report. Everything for that report lives in its workspace.

What a period has

  • Report type: Monthly, Quarterly, Annual, Final, Activity, Situation or Custom
  • Start and end dates (suggested from the type and project dates, chained after the previous period)
  • Donor deadline and optional internal review deadline
  • A pinned donor template, so later template edits do not change the report
  • Indicator values, activities, evidence links and the story
  • The report draft, its versions, checks and exports

Creating one

The project must be Ready (see Report readiness). Periods cannot overlap or fall outside the project's dates, and completed or archived projects cannot get new ones. See How to create a reporting period.

The four-step workspace

  1. Update Project – indicators, activities, evidence
  2. Tell the Story – challenges, changes, lessons
  3. Generate Draft – AI Reporter writes the report
  4. Review & Submit – edit, decide, approve, export

Status

Not started → In progress → Evidence collection → Draft generated → Under review → Approved → Submitted → Closed.

Deadlines

The donor deadline is calculated from the template's deadline setting where it has one. Upcoming deadlines appear on Home and My Work.
