How to Reopen an Approved Report

Change a report after approval, then approve it again.

An approved report is locked: its text and charts cannot change. If you need to change it after approval, for example to add a chart the donor asked for, an approver can reopen it. You do not have to regenerate the whole report.

Who can: Admin and Project Manager (the people who can approve reports).

Reopen

  1. Open the report (Projects → project → Reporting → the period).
  2. Click the ⋯ menu and choose Reopen for changes. (When you are adding a chart from the Data Center, the same button appears next to the message that the report is locked.)
  3. Write why the report is being reopened and click Reopen report. The reason is required.

This works for approved, exported and submitted reports. A submitted report asks you to confirm that what was sent to the donor does not change. A report that was replaced by a newer version cannot be reopened; reopen the current version instead.

What happens

  • The report goes back to draft and its approval is cleared. The period shows as a draft again.
  • A banner on the report says it was reopened, when and why.
  • Sections stay approved until you change them. Editing a section, or adding or changing a chart in it, reopens that section only.
  • Exports already made are not changed. The earlier text of any section can be restored from its History.
  • Reopening is recorded in the audit trail: who, when, why, and who had approved it.

Approve it again

  1. Make your changes.
  2. Approve the sections you changed.
  3. Send the report for review and approve it. The second-approver rule applies again, as for a first approval.

Run the export check again before exporting: the reopened report is a new version of the story.
