How to Log Activities
Record programme activities as they happen.
Activities are the field updates that tell the story behind your indicators: trainings held, distributions made, visits completed. Roles that can create activities: Admin, Project Manager, M&E Officer and Field Officer. Admin and Project Manager can approve them.
Open Projects → your project → Activities.
Add an activity
- Click New activity.
- Fill in:
- Activity title and Activity date
- Reporting period – the report this activity should feed
- Location
- Summary of what happened
- Total participants, with Female, Male, Children and Participants with disability where relevant
- Achievements, Challenges, Lessons learned and Next steps
- Click Submit activity.
Everything you write here can be used by the AI Reporter, so include specifics: numbers, places, what changed.
Get help polishing the text
On an activity, use the Suggested narrative panel to have AI turn your summary into a cleaner narrative. You see your original next to the suggestion and can copy it. Nothing changes until you choose to use it.
Attach evidence
Open the activity and use Attached evidence to see files linked to it. Upload evidence and link it to the activity from the Evidence library. Activities with evidence make stronger reports.
Review
Submitted activities go to a reviewer with approval rights.

|---|---|
| Draft | Not submitted. |
| Submitted | Waiting for review. |
| Needs revision | The reviewer sent it back with a required note. |
| Accepted | Approved. |
| Rejected | Permanently rejected (a note is required; this cannot be undone). |
Reviewers use Send revision request or Reject activity and must explain why. Every decision is recorded in the audit trail.
Import many activities at once
- On the Activities page click Download template and fill it in.
- Click Import activities from Excel and upload it (XLSX, CSV or TXT).
- Pick the reporting period; all imported activities are attached to it.
- Review the parsed content, then create the records. Output and indicator codes are matched to your logframe. Rows whose titles already exist in the project are skipped.
Tips
- Log activities as they happen; do not wait for report time.
- Field Officers can log activities without needing access to reports.
