How to Use Compliance Checklist
Resolve checklist items before export.
The compliance checklist lists what is missing or weak before a report can go out: missing evidence, unverified indicators, unsupported claims, missing annexes and so on. Open it from Compliance in the main menu (all projects) or the project's compliance page.
Roles that can manage checklist items: Admin, Project Manager, M&E Officer, Grants Officer and Compliance Officer.
Read the page
- Reporting period – choose the period you are working on.
- Report readiness and its Readiness explanation – what is dragging the score down.
- Checklist items with severity (Low, Medium, High, Critical), status and links to the related activity, indicator or evidence.
- Indicators – indicator verification state for the period.
- Resolved items – what is already done.
Where items come from
DonorDesk builds the checklist from your donor template's requirements, your logframe's means of verification, activities and uploaded evidence. It re-checks automatically as data changes, and regenerating it does not create duplicates or overwrite decisions you already recorded. In the report editor, ⋯ → Scan for missing items refreshes it on demand.
Statuses
| Status | Meaning |
|---|---|
| Open | Needs attention. |
| In progress | Someone is working on it (a note is optional). |
| Resolved | Fixed, with a required note describing how. |
| Accepted risk | You knowingly proceed. High-severity items ask you to confirm you have the authority. |
| Not applicable | Does not apply to this report. |
Resolve an item
- Open the item and use Start work, Resolve, Accept risk or Not applicable.
- Write the note when asked. The note is kept in the audit trail.
For example, if the item is "missing attendance sheet", upload the file, link it to the activity and then resolve the item. Some items resolve themselves when you add the missing evidence.
Resolve many at once
Click Bulk actions, tick items (or Select all), choose the action and add one shared note, then apply. Click Exit bulk to leave.
How it affects the report
Blocking checklist items appear in the report's Report checks and must be cleared, or explicitly accepted, before approval and export.
