How to Use the Timeline

See the plan on a calendar, move dates by drag or keyboard, and say why.

The Timeline shows planned activities as bars on a calendar, grouped by output, so you can see overlaps and gaps at a glance. Open Activities, then choose Timeline. On a phone the Timeline is not shown; you get the List instead.

Read it

  • Each bar is a planned activity. Its colour shows the signal (on time, late, done), and the signal is also in the bar's label.
  • A dashed outline shows where an activity was before it was moved. The Original dates button turns this outline on or off. It is on for Admins, Project Managers and M&E Officers, and DonorDesk remembers the choice you make.
  • Use the Completed filter to show only the done and cancelled activities; Late shows only the ones running behind.
  • A darker fill shows progress when you planned a number of sessions.
  • A diamond is a milestone (one date).
  • The line is today. Triangles along the top are your reports' due dates and internal review dates.
  • Choose Month, Quarter or Whole project to change the window. DonorDesk remembers your choice.

Move an activity

If you are allowed to move it (see below):

  1. Drag the bar to move it, or drag either end to change the start or end date.
  2. A bar appears: "Move to 12–14 Mar?" with Save and Undo. Nothing is saved until you select Save.
  3. If it repeats, choose Only this one or This and later ones.
  4. If the activity's end date has passed, or a report covers it, you must say Why? before saving.

With the keyboard: select a bar, then press ← or → to move it a day, Shift+← or Shift+→ to change its end date, and Save to confirm. Esc cancels.

Done and cancelled activities cannot be dragged. If you cannot move an activity, its bar has no drag handles.

An activity that has been moved shows a dashed outline of its original dates behind its current bar, so you can see how far it has slipped. Hover over the bar to see "moved from …".

Who can move activities

Admins, Project Managers and M&E Officers. A lead who is not one of those can change an activity's status and notes, but not its dates.
